Hands over to a person

Complaints and requests go to your team.

What it won't do: give clinical advice, invent prices or make cold outbound calls.

Assistant: Hello, Harbour Dental. You're speaking to the practice's AI assistant, and calls are recorded for quality and training. How can I help?

Caller: I'd like to book a check-up. I'm a new patient.

Assistant: What day and time would suit you?

Caller: Anything tomorrow after 2pm?

Assistant: Got it. Could I have your full name, please?

Caller: David Jones.

Assistant: Thanks, David. Is the number you're calling from the best one to reach you on?

Caller: That's correct.

Assistant: I've passed your request for a check-up tomorrow after 2pm to the team, and they'll call you back to confirm a time from half past eight tomorrow morning.

Questions practices ask

How do you handle GDPR and health information?

  • Your practice is the controller; Arun Soundra trading as Speakwick is your processor, under an Article 28 data processing agreement signed before go-live.
  • The assistant records only what's needed to route the call (a reason and an urgency flag). It never asks about medical history or medication.
  • Some providers are US-based; transfers rely on the UK–US data bridge or the IDTA/Addendum. You get the full sub-processor list before you sign.
  • Recordings and transcripts are deleted after a period agreed in your DPA, typically 30 to 90 days.
  • See our privacy notice. An outline, not legal advice.

Do callers know it's an AI, and that calls are recorded?

Yes, every time: "Hello, [Practice]. You're speaking to the practice's AI assistant, and calls are recorded for quality and training." If a caller would rather not be recorded, it offers to take a short message or suggests calling back in opening hours.

What happens to our phone system and number?

Nothing changes. Calls forward to the assistant only when you choose. Switch forwarding off and everything is as it was.

What if the AI can't help?

It doesn't guess. It takes a message for a callback. Complaints, safeguarding concerns, third parties asking about a patient, and anyone who asks for a person go to your team.

Is there a contract?

Monthly rolling with 30 days' notice after a 3-month minimum. Setup isn't refundable once live.

Prefer to talk it through?

15 minutes on when your calls go unanswered. If it isn't a fit, I'll say so.
